This policy explains how we manage personal information (information or an opinion about an identified person, or a person who is reasonably identifiable) under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
3) The information we collect
We may collect:
· Identity & contact details: name, email, phone, postal address.
· Donation records: amount, date, preferred communication method, receipt details (we do not store full card or bank numbers—payments are processed by Stripe/PayPal).
· Engagement information: event registrations, volunteer interest, workplace giving participation.
· Website & communications data: IP address, device/browser info, pages viewed, and—if enabled—cookies/analytics and tracking pixels (see Section 8).
· Photos & media: with consent (e.g., at events).
We generally avoid collecting sensitive information; if we need to (for example, accessibility or dietary needs for events), we’ll seek your clear consent first and limit use to that purpose.
4) How we collect information
· Directly from you: forms on our website, email, phone, event sign-ups, donation pages.
· Payment processors: Stripe and/or PayPal share confirmation details so we can reconcile donations and issue receipts.
· Website technologies: cookies/analytics/pixels (see Section 8).
· Social media: messages/interactions on our official accounts.
5) Why we collect and use information
We use personal information to:
· Process donations and issue receipts; maintain accurate donor and financial records.
· Communicate updates, impact reports, events, and opportunities to get involved (you can opt out at any time).
· Administer events, volunteer activities, partnerships and workplace giving.
· Operate, secure and improve our website and services.
· Comply with legal/regulatory obligations (including record-keeping and reporting).
Direct marketing & your choices
We may use your contact details to send updates about our work or fundraising. You can unsubscribe in any email or by contacting us. When direct marketing falls under APP 7, we comply with its requirements, including providing a simple opt-out.
Anonymity & pseudonymity
Where practicable (e.g., cash placed in a community donation box), you may donate anonymously or under a pseudonym; some activities (like issuing a receipt) will require identifying details.
6) Disclosing your information
We may disclose personal information to:
· Service providers acting for us (Squarespace for website hosting; email and file-storage providers; Stripe/PayPal for payment processing; analytics/CRM tools we adopt).
· Event partners or contractors (only what’s necessary to run the activity).
· Professional advisers (accountants, auditors) and regulators if required by law.
We do not sell or rent your personal information.
7) Storage, security & retention
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure (access controls, need-to-know permissions, secure third-party providers). We keep information only as long as necessary for the purposes above or to meet legal and audit requirements, after which we de-identify or securely destroy it. (APP 11.)

9) Disclosure overseas (cross-border)
Some service providers may store or access personal information outside Australia (for example, global cloud or email providers). Before disclosing overseas, we take reasonable steps to ensure the recipient will handle information in accordance with the APPs; if we disclose to an overseas recipient, we may remain accountable for their handling under APP 8 and s 16C (subject to exceptions).
10) Access to and correction of your information
You may request access to the personal information we hold about you, and request corrections if it’s inaccurate, out-of-date, incomplete or misleading. We will respond within a reasonable period and give reasons if we refuse access or correction (and tell you how to complain). (APP 12 & APP 13.) 12) Children and young people
We’re mindful that families and young people may engage with us. Where a person is under 18, we seek consent from a parent/guardian where appropriate (for example, publishing a photo), and minimise the data we collect.
